Case Western Reserve University’s University Technology ([U]Tech] will shortly start taking action to delete files owned by people whose CWRU Google Workspace accounts have been suspended or those in a Shared Drive slated for deletion in order to comply with Google’s file storage limits.
Alumni and former students who have left the university will have their accounts suspended for 180 days, after which they will be erased. This implies that all of their files, including those on Shared Drives they control, will likewise be erased.
Starting today (Sept. 12), [U]Tech will tag files in Google Workspace with the phrase “To Be Deleted” in order to indicate that they are about to be deleted. On impacted files, the label might not show up for a few days.
Anyone whose Google account has been inactive for more than six months as of February 1, 2024 will have their account canceled. This implies that all of those accounts’ files will also be permanently destroyed. Additionally, on February 1, 2024, any Shared Drives with a CWRU manager inactive for more than a year would be erased.
Any Google Workspace accounts that have been inactive for 180 days as well as any Shared Drives without a current CWRU manager for more than a year will be automatically terminated on February 1, 2024.
All academics, staff, and students should review the files slated for deletion to verify you still have access to essential materials.
Follow the instructions on where to look for and how to protect these files on the Google Files Shared By Suspended Users page.
